The VNA is seeking an HR Admin to provide a variety of administrative support to the Vice President of Human Resources and the Human Resource staff. Assist with department compliance regarding State and Federal Laws, and regulatory requirements of the organization. Perform duties and assignments under the direction of the Vice President of Human Resources to deliver quality products and services. Perform as a resource to all associates by having knowledge of organizational policies and procedures, while maintaining confidentiality at all times. Integrate and demonstrate the Core Values of the VNA in all aspects of work responsibilities.

Responsibilities

  1. Plan, organize and perform daily tasks and assignments that support the VP of HR and HR team including but not limited to, sort and distribute mail, scan documents, review and submit invoices, order supplies, operate office equipment and schedule meetings. Maintain organizational charts for agency
  2. Provide customer service to all departments, associates and board members as needed; respond to inquiries with accurate and timely information
  3. Gather facts and communicate to supervisor and/or appropriate HR member about employee relation matters and inquiries so the team can respond timely and appropriately
  4. Assist with enhancing efficiency with procedures, products and services delivered by staff and department
  5. Assist with coordination of general orientation including but not limited to greeting associates, agenda, speakers, schedule and on-boarding that follows
  6. Assign and monitor 90 day evaluations; audit HR files, including I-9’s as required, monitor annual performance evaluations; summarize and report findings to supervisor
  7. Proctor CPR quarterly sessions as needed
  8. Perform necessary tasks related to the orchestration and utilization of the VNA on-line learning system; assist associates and managers as needed. Resolve technical problems internally or direct with vendor
  9. Assist VP of HR with routine and special projects, maintaining confidentiality as required
  10. Track and maintain files and records for all training sessions, including courses that result in CEU and/or certification. Create and update documents and materials, confirming attendance and logistics as required and assist in maintaining CE Broker if needed
  11. Arrange conference and travel details for staff and/or external educational facilitators as needed.
  12. Create, coordinate and distribute the training curriculum and monthly calendar based on educational needs, assessments, and input from staff and internal clients if needed
  13. Gather, review and coordinate contractual agreements involving educational institutions, physical credentialing, interns and students to ensure positive outcomes and/or compliance
  14. Provide Front Desk phone coverage on a regular basis and as needed due to absence or schedule conflicts.
  15. Participate in committees and VNA sponsored events/activities as needed

Qualifications

Two to four years as an administrative assistant or similar role/work duties; experience working in HR a plus
