    The VNA is seeking a Recruitment Assistant (RA) to be responsible for the comprehensive activities that support the recruitment function at the VNA. Those responsibilities include some level of administrative assistant responsibilities as well as recruiting responsibilities. The Recruiting Assistant will provide assistance for all administrative, clerical and logistical support to the Recruiter at the VNA. The RA will be responsible for all pre interview responsibilities as well as post hire responsibilities. This position will report to the Recruiter and the Vice President of People and Culture.  

     

    This position will be involved in scheduling calls, interviews and pre employment screening activities. Maintaining the applicant tracker system and managing the documentation and recordkeeping function of the recruitment process which will help the recruitment function work as effectively as possible.

    The RA helps with the implementation of services, policies, and programs aimed at maintaining a safe, positive environment in addition to the recruitment of an engaged workforce.

    Responsibilities

    • Provide a wide range of administrative and clerical service to the Recruiter and the P&C department
    • Provide reports upon request related to recruitment activities including the weekly report to all Leadership Team members
    • Works with the Recruiter and the VP to develop draft job descriptions as requested.
    • Prepare offer letters to candidates who have been selected for open positions
    • Coordinate and schedule interviews for hiring managers
    • Communicate with candidates including those that are not going to be granted an interview
    • Assure that all information on applicants for associate positions is accurate and timely
    • Collection of the pre employment information submitted by the applicant and process the information through out the recruitment process
    • Post job openings to all sources that are currently used by the organization
    • Respond to all requests for recruitment information from candidates
    • Onboard new associates
    • Coordinates Agency Orientation and rotates that responsibility with the other RA
    • Working in tandem with the Volunteer to keep up the scanning of documents into the appropriate file
    • Coordinate and attend Job Fairs
    • Assumes responsibilities for supporting an organization committee led by the VP of People & Culture
    • Assign and monitor 90-day evaluations & annual performance evaluations. Provide associates with complimentary polo shirt after 90-day evaluation is completed
    • Provide Front Desk phone coverage as needed
    • Reset associate passwords in Human Resources Information System (HRIS)
    • Perform necessary tasks related to the orchestration and utilization of the VNA on-line learning system; assist associates and managers as needed. Resolve technical problems internally or direct with vendor
    • Maintain compliance of renewals including professional licenses, CPR certifications, driver’s licenses, and automobile insurance prior to expiration. Update associate folder, along with HRIS and Electronic Medical Records (EMR) systems (as needed)
    • Gather, review and coordinate contractual agreements involving educational institutions, physical credentialing, interns and students to ensure positive outcomes and/or compliance
    • Special projects as assigned

    Qualifications

    • A minimum of one year of prior healthcare experience
    • A minimum of one year of prior Recruiting Assistant and/or Human Resource Assistant experience
    • Five years of business experience and prior experience working in a fast-paced organization
    • Familiarity with hiring practices and applicable laws
    • Experience using Microsoft Office Products and HRIS
    • Experience using Applicant Tracking systems is preferred (prior use of ICIMS tracking system is a plus)
