The VNA is seeking a full time scheduler to work in our Private Care division. Responsible for receiving and initiating phone calls to VNA Private Care Service’s clients and associates related to existing or potential client services, and ensuring that appropriate follow up action is completed as necessary. Perform clerical and data entry duties associated with scheduling of VNA Private Care Services clients. Integrate and demonstrate the Core Values of the VNA in all aspects of work responsibilities.

Responsibilities

  • Receive and screen incoming calls, maintain accurate messages and relay promptly to appropriate person. Provide backup for all office phones in the department.
  • Perform scheduling duties using electronic medical record and scheduling software.
  • Accurately maintain client and caregiver schedules in scheduling package, adjusting staffing and schedule to meet the needs of the client and caregiver under the supervision of the Administrator.
  • Participate in On Call rotation for after hours scheduling coverage.
  • Notify client and/or caregiver of change in scheduled associate before the start of the shift.
  • Verify accuracy of scheduling for billing and payroll, including ensuring that all field staff have submitted paper notes within payroll deadline.
  • Collaborate with Private Care team to ensure accurate scheduling, continuity and current patient information.
  • Participate in client case conferences.
  • Anticipate staffing needs and utilize staff appropriately to ensure quality and continuity. Ensure caregiver schedules are in line with business objectives, including controlling overtime.
  • Ensure equitable distribution of scheduled hours by utilizing all possible associates.
  • Maintain close contact with all field staff to provide support and resources.
  • Identify and report barriers to staffing.
  • Assist People & Culture by tracking and retrieving required compliance documents from associates before expiration.
  • In coordination with Scheduling Supervisor, schedule and maintain for accuracy all courtesy and supervisory visits for field RNs.
  • Follow HIPAA guidelines and maintain all protected health information obtained in the course of work as confidential and, as such, should not be a matter of discussion with co-workers or others outside of the Agency.
  • Comply with VNA policies and procedures.
  • Work with Private Care team to facilitate skills labs, in-services and additional training when needs are identified.
  • Attend required meetings and complete mandatory education by the department deadline.
  • Follow VNA safety policies/procedures. Report accidents or unusual incidents immediately to the immediate supervisor and People & Culture.

 

Qualifications

  • Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
  • Previous scheduling experience preferred
